Harborline Audit Partners (“Harborline,” “we,” “us”) is the data controller for personal information collected through this website and related inquiry channels. This notice explains what we collect, why, how long we keep it, and your rights under applicable Japanese law, including the Act on the Protection of Personal Information (APPI).

Information we collect
When you submit an inquiry or newsletter form, we may collect your name, email address, preferred engagement type, reporting period notes, and message content. Server logs may record IP address, browser type, and pages visited for security and basic analytics if you accept optional cookies.
Purposes
- Responding to engagement inquiries and scheduling scoping calls
- Sending Field Notes briefings when you subscribe
- Improving site clarity and measuring which guides are read (analytics, if consented)
- Meeting legal and professional obligations where applicable
Retention
Inquiry records are retained for up to twenty-four months unless a client relationship begins, in which case records follow our engagement file retention policy (typically seven years for audit working papers under professional requirements). Newsletter subscriptions are kept until you unsubscribe. Analytics data, if used, is retained according to the analytics provider’s settings, ordinarily no longer than twenty-six months.
Your rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and you may withdraw consent for optional processing such as analytics or newsletters. Contact us at the email above. You may also lodge a complaint with the Personal Information Protection Commission of Japan where appropriate.
International transfers
Our primary operations and hosting for client correspondence are managed from Japan. If a service provider processes data outside Japan (for example, email delivery or analytics), we take steps consistent with APPI requirements, including contractual safeguards and transparency about the destination country where required.
Sharing
We do not sell personal data. We may share information with professional advisers, IT service providers under contract, or authorities when required by law. Audit engagement files are handled under separate confidentiality terms in the engagement letter.
